This policy explains how Useful Software & Systems Limited handles personal information across usefulsoftware.co, support communications and our downloadable products.
1. Who we are
Useful Software Company is a trading name of Useful Software & Systems Limited, company number 17469222, registered in England and Wales. We are the controller of personal information described in this policy except where another organisation, such as Paddle, acts as an independent controller for its own services.

2. Information we collect
- Enquiries and support: your name, email address, organisation, message, attachments and our correspondence.
- Purchases and licences: your name, email address, organisation, product, licence identifier, transaction reference and licence-delivery history. We do not receive or store your full payment-card details.
- Website use: device, browser, approximate location, referring page and interaction data collected through server logs, Squarespace Analytics and, where you consent, Google Analytics.
- Preferences and consent: cookie choices and any separate consent you give for marketing.
- Information you choose to provide: material sent when asking for help, such as screenshots or diagnostic logs.
3. Privacy inside our desktop products
Course, customer, attendee, booking, financial and communication information entered into the application is stored in database files on your computer or in a storage location you choose. Trial and licence checks take place locally. The application does not send database content to us.
If you use our software to hold information about your own customers or attendees, you remain responsible for that information, including having an appropriate lawful basis, providing any required privacy information, controlling access, making backups and responding to individual rights requests.
The application may open a website or prepared email in your chosen browser or email application when you ask it to. Those external services then operate under their own privacy terms.
4. How and why we use information

We do not add purchasers or enquirers to a marketing list merely because they bought a product or contacted us. Marketing is sent only where separate consent has been given, and consent can be withdrawn at any time.
5. Service providers and international transfers
We use carefully selected services to operate the website and fulfil purchases:
- Squarespace for website hosting, forms and site analytics.
- Google Analytics for consent-based website measurement.
- Zoho for email delivery and storage.
- Cloudflare Cloudflare for domain services, secure installer distribution, webhook processing, and storage of transaction and licence-fulfilment records.
- Paddle as authorised reseller and Merchant of Record for checkout, payments, taxes, receipts and refunds.
- Resend for sending transactional licence, download and fulfilment emails.
These providers may process information in the United Kingdom, European Economic Area, United States or other countries. Where restricted transfers apply, we rely on the provider's recognised transfer mechanism and contractual safeguards. Paddle also provides its own privacy information at checkout.
We may disclose information where required by law, to protect legal rights or in connection with a genuine corporate reorganisation. We do not sell personal information.
6. How long we keep information
- General enquiries and support correspondence: normally up to three years after the last contact.
- Purchase, licence and accounting records: normally six years, or longer where the law or an active dispute requires it.
- Google Analytics event data: configured for 14 months.
- Marketing information: until consent is withdrawn, with inactive contacts reviewed after 24 months.
We may keep limited suppression, fraud-prevention or legal records after other information has been deleted where this is necessary and lawful.
7. Your privacy rights
Depending on where you live and the circumstances, you may have rights to be informed, access information, correct it, erase it, restrict or object to processing, receive portable information and withdraw consent. You may also have rights concerning automated decisions; we do not use solely automated decisions that produce legal or similarly significant effects.
Email hello@usefulsoftware.co to exercise a right. We may need to verify your identity. Some rights are qualified, and we may retain information where the law permits or requires it.
Children
Purchasers must be at least 18 or otherwise legally authorised to enter the transaction for a business. Our website is not directed at children and we do not knowingly collect information directly from children through it. Our customers may use locally stored databases to manage their own attendees, including younger attendees; in that situation the customer controls that information and we do not receive it.
